Release 3/21/18: Using Asset Saved Searches in Recurring Invoices

    We’ve got a sweet new Syncro update for you. Here’s how it works:

    Using Asset Saved Searches to Bill Clients via Recurring Invoices

    To start, let’s talk about the new search parameters we’ve added to Asset Saved Searches, and why these can be so powerful when billing clients.

    It can be difficult to know which Assets have different properties. For example, which Assets have Office 365 installed, Servers vs Workstations, or organizing them by Policy.

    That’s why we just made Asset Searches way more powerful. You can now filter Assets by Custom Fields and Policies, in addition to the pre-existing filters.

    But what if you want to bill your clients based on Asset properties? For example:

    • If you charge clients more if they have Dell vs HP
    • If you charge clients less if they have a device under warranty
    • If the Asset has a custom firewall or DNS you may charge them more
    • If the device has Office 365 installed
    • If the device is a server vs desktop
    • If the device has one policy vs another

    We also added more automation to Recurring Invoices, so that you can use your Saved Asset Searches to dynamically update quantities.

    Let’s break this down…

    1. Log in to your Syncro account and make your way to the “Assets & RMM” module.
    2. Click on the “Filter” dropdown menu near the search field, and click “Create New.”
    3. When creating an Asset Saved Search, you’ll notice some new additions toward the bottom of the window:
    • Policy
    • Asset Custom Text Field
    • Asset Dropdown Field
    • Asset Checkbox Field

    1. Once you’ve named your search, selected the Office 365 option, and clicked “Save,” you can view the saved search within the Filter dropdown menu, or by clicking the search icon on the far left side of the screen:

      Now, let’s add this new Asset Saved Search to a Recurring Invoice Template to automatically update the quantity of Assets that meet the criteria of this saved search!


      • Open up one of your Recurring Invoice templates (or create a new one).

      • Scroll down to the “Add Line Item” section of the template and click on the drop-down menu under the “Recurring Type” field to select “Asset/RMM Counter.”

      • You’ll notice a new “Asset Search” section here:

      • Click the dropdown menu and select the newly created Asset Saved Search:




      This function will count how many Assets this Customer has under the selected Asset Saved Search, and it will automatically use that number as the line item quantity.


      This quantity will continue to automatically update before the next Recurring Invoice is scheduled to go out, preventing you from ever needing to manually update quantities.
